Avoid using personal names and contact information in external-facing documents. People come and go. Also avoid specific business unit names when possible. Those also change frequently.
When you need stakeholders to be able to reach us, create a group mail box (e.g., Directive056@aer.ca).
When referring to business units, go as high up the org chart as you can (e.g., referring someone to “Engagement & Communications” is preferred to “Editing Services”).
The first time a person’s name is given, include the initials of the first and middle names and the full surname. There is always a space between initials:
M. I. Jones
Subsequently, refer to the person as Mr., Mrs., Ms., or Dr. Jones, as appropriate.
If two persons (married or not) with the same surname are mentioned, each is presentend in full:
Mary Smith and Charles Smith
Subsequently, refer to them as Mr. and Mrs./Ms. Smith or the Smiths (if they are married) or distinguish with an initial if they are unconnected: Mr. C. Smith and Mrs. M. Smith.
The plural of a name ending in s has es added to the name:
